One platform for payroll, documents and fleet operations, designed for five roles across web and mobile

A multi-role operations platform for taxi, delivery, rental and logistics fleets that replaced spreadsheets and chats with automated payroll, document tracking and live reporting.

Task

Payroll, documents and fleet data lived in spreadsheets and chats. We designed one system where every payout and document is tracked automatically, for web and mobile.

Challenge

Drivers, fleet owners, admins, super admins and accountants all needed different tools. We built one platform with a dedicated workspace for each role instead of one interface for everyone.

Results

+75% operational efficiency, 2.4× faster decisions and 0% calculation errors. Payroll went from days of manual work to one click.

Research

Payroll errors, lost documents and slow driver approvals slowed every fleet. We mapped each role’s flow to find where time and money leaked.
Discovery

Low-fidelity through to high-fidelity mockups, with the design system built alongside rather than after — five roles on one platform makes shared components a structural requirement, not a nicety.
Briefing

Five roles, one product. We defined who needs what first, then built the structure around real daily tasks
Wireframes

New drivers dropped off during a long signup. We designed a clear 6-step registration with document upload and phone verification.
UX Research

Drivers wanted transparent earnings, owners wanted control. We gave each a dashboard with only the data they need.
Moodboard

A fleet tool can feel dull and technical. We chose deep purple on dark with 3D visuals to feel modern and premium.
Design Concepts:

Dense financial data had to stay readable. We kept the direction that shows key numbers first and details on demand.
UI Design

Many roles needed one consistent look. We built a design system with Inter, clear cards and charts across web and mobile.
